Manage users, roles, and organization-scoped access across the Gronox workspace and installed apps

User Roles & Permissions

Gronox is multi-tenant by default. Role-based access control defines what each user can do in your organization — platform settings, app installs, and per-app permissions where configured:

Admin

Full access to all features and settings

  • Manage organization settings and app installs
  • Invite and remove users
  • Configure entitlements and subscriptions
  • Access all enabled apps (Solar-Connect, Assets, Odoo Connect)
  • Manage integrations, rules, and org-wide configuration

Member

Can operate installed apps and day-to-day workflows

  • Work in assigned apps (Solar-Connect, Assets, Odoo Connect)
  • Use dashboards, alerts, and the AI assistant
  • Create and update records within app permissions
  • Cannot change org settings, installs, or user roster

Viewer

Read-only access to view data

  • View data and dashboards in permitted apps
  • Use AI Assistant for read-only queries
  • Cannot install apps, change settings, or modify records

Inviting Users

Add team members to your organization:

  1. Go to User Management: Navigate to Settings → Users
  2. Click "Invite User": Open the invitation dialog
  3. Enter Email Address: Provide the email of the person you want to invite
  4. Select Role: Choose Admin, Member, or Viewer based on their responsibilities
  5. Send Invitation: The user will receive an email with an invitation link
  6. User Accepts: They click the link, create their password, and join your organization

To invite team members, navigate to Settings → Users in the main application.

Managing Existing Users

Once users are part of your organization, you can:

Change Roles

Promote or adjust user permissions as needed

View Activity

See what users are doing in your organization

Remove Users

Revoke access when team members leave

Resend Invitations

Resend invitation emails if they expired

Profile Settings

Each user can manage their own profile:

  • Update name and contact information
  • Change password
  • Set notification preferences
  • Configure timezone
  • Upload profile picture

Access your profile settings from the user menu in the main application.

Best Practices

  • ✓ Use the principle of least privilege - give users only the access they need
  • ✓ Regularly review user access and remove inactive accounts
  • ✓ Use Admin role sparingly - only for users who need full access
  • ✓ Encourage users to enable two-factor authentication
  • ✓ Document who has access to what in your organization
  • ✓ Review and update roles when team members change responsibilities

Security Considerations

Keep your organization secure:

  • Remove users immediately when they leave your organization
  • Use strong, unique passwords
  • Enable two-factor authentication for all users
  • Regularly audit user activity logs
  • Be cautious about granting Admin access
  • Use role-based access instead of sharing credentials
